This policy explains what personal information Giga Removals (“we”, “us”) collects when you contact us, use this website or use the Giga Removals app, how we use it, and what rights you have. We are the data controller for that information.
We keep the minimum needed to quote and carry out a removal:
You can email us, send a booking request, or ask Giga in the chat. You choose what to tell us.
Our lawful bases are performance of a contract (or steps towards one), our legitimate interests in running the business, legal obligation for accounting records, and your consent for analytics cookies and for the app’s usage statistics and crash reports. We do not send marketing messages unless you ask us to, and we never sell your data.
Signing in. To book or chat with Giga you enter your email address and we email you a six-digit code. Once the code is entered, a cookie keeps this device signed in for 30 days, for booking and for the chat. It is needed for the sign-in to work and is not used for tracking.
Booking requests. A request from the booking page or from the chat is stored with a reference number and emailed to you and to our office. It is a request, not a confirmed booking: we contact you to confirm. You can see your requests on the My bookings page.
The chat. Giga is an AI assistant. Its answers are written by Google’s Gemini AI service: your messages and any photos you add are sent to Google to produce each answer. If you use voice messages, “Listen to this answer” or Live Voice, the sound is also sent to Gemini to be written out or spoken. We keep the written text of what was said, not the recording. Giga can make mistakes; every price is confirmed with you before a job.
What is saved. Your conversations, your chat settings and, if “Remember my earlier chats” is on, short notes on what you asked before, so you do not have to explain again. Turning that setting off deletes the notes. If Giga gives you a price and you do not book, we may send you one email with that price; we send one email per price and no other marketing.
Deleting it. In the chat, open the settings and choose “Delete my data” to delete your chat account, conversations and notes straight away. Booking requests you have sent are kept as job records (see How long we keep it below).
Your account. To use the app you create an account with your name, email address, phone number and a password. The password is handled by Google Firebase Authentication; we never see it. The app also keeps your saved addresses, your bookings, messages with our office about a booking, your notifications and, if you add one, a profile photo. These are stored with Google Firebase.
Location. The app reads your phone’s location only when you tap “Use my location” or pick an address on the map, to fill in the address. The location and the addresses you type are sent to Google Maps to find the address and the route. If you work for us as crew, the app shares your location with the customer and our office while you are on the way to a job.
Camera and photos. The app uses the camera or your photo library only when you choose to add a picture: photos of the things to be moved for a booking, a profile photo, or a photo for Giga. Booking photos are deleted once the job is complete unless they form part of a claim.
Giga in the app. Your messages, voice messages, Live Voice and any photos you add are sent to Google’s Gemini AI service to produce each answer. Before your first voice message or photo, the app tells you this and asks you to confirm. The recording itself is not kept. The written conversation is kept only on your phone, for up to 30 days.
Notifications. To send booking updates, the app stores a notification token for your phone with your account (Firebase Cloud Messaging). It is removed when you sign out.
Usage statistics and crash reports. Only if you allow them. The app asks once, when you first open it, and you can change your answer at any time in Profile, Privacy and security. If you allow them, Google Analytics for Firebase records which screens are used, your device type and approximate location, and Firebase Crashlytics records what went wrong when the app stops (device model, system and app version, and the error). They do not include your name, email or bookings. The app does not collect your phone’s advertising ID and shows no advertising.
Fingerprint and face lock. If you turn the lock on, your phone checks your fingerprint or face itself. The app and Giga Removals never receive your fingerprint or face data. The app’s data is not included in phone backups.
Deleting your account. In the app, go to Profile, Privacy and security, and tap Delete my account. You can also ask by email. See Delete your account for what is deleted and what we have to keep.
Only where it is necessary: the crew assigned to your move; a local council when we apply for a parking bay suspension on your behalf; our insurer if a claim is made; our accountant and payment provider; Google, for website analytics if you have accepted analytics cookies; the service providers that run online booking, the app and the chat for us: Google Firebase (accounts, storage and app notifications, and app statistics and crash reports if you allow them), Google Maps (address search and routes in the app), Resend (email) and Google Gemini (chat answers and voice), who process the data only to provide that service; and any authority where we are legally required to disclose. We use no third parties for marketing purposes.
Enquiries and booking requests that do not become jobs are deleted within twelve months. Chat conversations are deleted twelve months after you last use the chat, or straight away if you choose “Delete my data”. An app account is deleted straight away when you delete it in the app, or within one month of asking us. Completed job records and invoices are kept for six years, as required for UK tax and accounting. Photographs sent for quoting are deleted once the job is complete unless they form part of a claim.
Records are held on password-protected devices and accounts, accessible only to staff who need them. Paper job sheets are destroyed once the job details have been entered into our records.
When you first visit, a banner asks whether you accept analytics cookies. If you choose Accept, Google Analytics is switched on to tell us which pages people visit and which links they use to book. If you choose Reject, analytics stays off. Advertising cookies are not used. The sign-in cookie for booking and the chat is described above; the chat also keeps the open conversation in your browser tab so it survives moving between pages. You can change your choice at any time with Cookie settings at the bottom of every page; the site works either way.
Under UK GDPR you can ask us to confirm what we hold about you, correct anything inaccurate, delete data we no longer need, restrict or object to how we use it, or provide it in a portable format. Email info@gigaremovals.uk and we will respond within one month. To delete your app account, see Delete your account.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
If we change how we handle personal data we will update this page and the date at the top. Material changes will be flagged on the homepage.
